These Terms and Conditions govern the provision of counselling and therapy services by Peace and Minds Counselling Group UK (the "Service", "we", "us", or "our").

By booking or attending any session (including Discovery Sessions), you (the "Client", "you") agree to be bound by these Terms, our Clinical Policy for Online Counselling, Safeguarding Procedure, Governance Policy, and any related documents (e.g., Privacy Notice, Client Intake & Informed Consent Form). We are a team of qualified counsellors registered with the British Association for Counselling and Psychotherapy (BACP).

All counsellors adhere to the BACP Ethical Framework for the Counselling Professions (including good practice points on contracting, informed consent, and remote working).

Counselling is not statutorily regulated in the UK, but we maintain voluntary registration, regular supervision, professional indemnity insurance covering online/telephone work, and full compliance with relevant laws. These Terms form a legally binding agreement between you and Peace and Minds Counselling Group UK.

1. Services Provided

We offer genuine, heartfelt, confidential counselling and therapy via secure online video (Google Meet) or telephone, available UK-wide for adults aged 18+, as well as on-site or online tailored support for organisations. Services include individual therapy, initial consultation (introductory 45-minute sessions), and organisational wellbeing programmes. Counselling provision is collaborative and tailored to your needs. Outcomes vary and are not guaranteed. We do not provide medical diagnosis, crisis intervention, or emergency services. Sessions are typically 50 minutes unless otherwise agreed.

2. Booking and Appointments

Bookings are made via our website (using Calendly) or direct contact. You must complete the Client Intake & Informed Consent Form before your first paid session. These are sent to you via email for electronic signature and confirmation. We will confirm bookings via email with joining instructions. You are responsible for providing a stable internet connection, private space, and compatible device for online sessions. We reserve the right to refuse or discontinue services if we believe the therapeutic relationship is unsuitable or if risks are identified (please see our Safeguarding Procedure).

3. Fees and Payment

Fees are stated on our website and confirmed at booking. Standard session fee: £65 per 50-minute session; £180 for 3 bundle sessions; £360 for 6 bundle sessions. Initial consultations are free of charge. Payment is required in advance via secure methods (paid securely via Stripe through card or Klarna). Receipts are provided on request. All fees are non-refundable except in cases of our cancellation policy (see section 4).

4. Cancellation, Rescheduling, and No-Shows

We operate a 24-hour cancellation policy:

  • Cancellations/rescheduling with 24 hours' or more notice: No charge; reschedule free.

  • Cancellations/rescheduling with less than 24 hours' notice or no-shows: Full session fee charged (unless exceptional circumstances, at our discretion).

We will endeavour to offer an alternative if we cancel (e.g., due to illness), with no charge to you. Notice must be given via email or phone during business hours (Monday–Saturday 9am-5:30pm).

5. Confidentiality and Its Limits

Your attendance and all information shared are treated as strictly confidential. We protect your privacy in line with BACP Ethical Framework and UK GDPR/Data Protection Act 2018. Limits to confidentiality include:

  • Risk of serious harm to yourself or others (e.g., suicidal intent) — we may contact emergency services (999, NHS 111).

  • Safeguarding concerns for vulnerable adults (per our Safeguarding Procedure).

  • Legal requirements (e.g., court order).

  • Anonymised discussion in supervision (for professional development).

We will inform you if disclosure is needed, where practicable. For online/telephone work, absolute confidentiality cannot be guaranteed due to digital risks (e.g., hacking, unsecured networks). We use encrypted, GDPR-compliant tools (Calendly for scheduling; Google Meet/Google Workspace for sessions/admin; Squarespace for website).

6. Data Protection (UK GDPR Compliance)

We are registered with the Information Commissioner’s Office (ICO) as a data controller. We process your personal data (including special category health data) lawfully:

  • Lawful basis: Contract (for therapy delivery); explicit consent (for certain processing).

Our Privacy Policy details: what data we collect, how we use/store it, your rights (access, rectification, erasure, withdrawal of consent), retention periods, and security measures. Data is handled securely via our tech stack (as listed above), with international transfers covered by adequacy decisions/SCCs/UK Addendum. No recordings of any session types are made. Breach response follows ICO guidelines.

7. Informed Consent and Suitability for Online/Telephone Work

By proceeding, you confirm:

  • You are 18+ and voluntarily seeking therapy.

  • You understand the risks/benefits of online/telephone counselling (e.g., technical issues, reduced non-verbal cues, privacy risks in home settings).

  • You have a safe, private space for sessions.

  • You consent to our policies (including confidentiality limits, data handling, crisis procedures).

Consent is documented via the Client Intake & Informed Consent Form, sent to you via email for electronic signature and completion prior to your first session. You may withdraw consent at any time (though this may end the therapeutic relationship).

8. Boundaries and Communication

We maintain professional boundaries: no contact outside sessions except emergencies or agreed admin (via secure email). No social media connections or dual relationships. Between-session contact is limited to practical matters; therapeutic issues are addressed in sessions.

9. Crisis and Emergency Procedures

We are not a crisis service. We provide links to a range of useful resources for emergency situations and crisis management.

If you are in immediate danger:

  • Call 999 (emergency) or see your GP

  • Call NHS 111 (mental health option).

  • Contact Samaritans (116 123) or Shout (text SHOUT to 85258).

We will support safety planning but may break confidentiality if serious risk exists.

10. Complaints and Professional Standards

We welcome feedback. If dissatisfied, contact us first (info@peaceandmindscounselling.co.uk). If unresolved, escalate to BACP. We hold professional indemnity insurance covering online/telephone work. See our full Complaints policy.

11. Ending Therapy

You may end therapy at any time. We recommend discussing endings for closure. We will provide reasonable notice of breaks (e.g., holidays) and manage unplanned absences sensitively.

12. Governing Law

These Terms are governed by English law. Disputes fall under English courts.

By booking/attending sessions, you accept these Terms. We may update them (with notice via website/email). Continued use constitutes acceptance.
